Getting Started Issues

"How do I access Clubs?"

Problem: You don't know where to find the Clubs application.

Solution: 1. Contact your organization: Ask your IT department, club administrator, or the person who invited you for the URL 2. Check your email: Look for an invitation email that may contain the URL 3. Common URL patterns: - https://clubs.yourorganization.com - https://yourorganization.com/clubs - For development: http://localhost:3000

"I can't access the application"

Problem: The page won't load or shows an error.

Try these solutions: 1. Check your internet connection: Make sure you're connected to the internet 2. Verify the URL: Make sure you're using the correct URL (check for typos) 3. Try a different browser: Use Chrome, Firefox, Safari, or Edge 4. Clear browser cache: - Chrome: Ctrl+Shift+Delete (Windows) or Cmd+Shift+Delete (Mac) - Select "Cached images and files" and clear 5. Disable browser extensions: Some extensions may interfere with the application 6. Check with others: Ask colleagues if they can access it (might be a server issue) 7. Contact IT support: If nothing works, contact your system administrator

"I created an account but can't log in"

Problem: You registered but login fails.

Check these: 1. Did you verify your email? - Check your email for a verification link - Check your spam/junk folder - Click the verification link before trying to log in 2. Is your password correct? - Passwords are case-sensitive - Try using the "Forgot Password" link to reset it 3. Are you using the correct email? - Make sure you're using the email you registered with - Try your alternate email addresses 4. Wait a moment: Sometimes account activation takes a few minutes

"I didn't receive the verification email"

Problem: No verification email arrived after registration.

Solutions: 1. Check spam/junk folder: Verification emails often end up there 2. Check the correct inbox: Make sure you're checking the email you registered with 3. Wait: Sometimes emails take 5-10 minutes to arrive 4. Request a new verification email: - Go to the login page - Look for "Resend verification email" or similar option - Enter your email address 5. Check your email settings: Some email providers block automated emails 6. Contact support: If still no email, contact your system administrator

Login & Authentication Issues

"I forgot my password"

Solution: 1. Go to the login page 2. Click "Forgot Password" or "Reset Password" 3. Enter your email address 4. Check your email for a password reset link 5. Click the link and follow the instructions 6. Create a new password (meet all requirements) 7. Return to login and use your new password

Problem: The password reset link is expired or doesn't work.

Try these: 1. Check if the link expired: Reset links are typically valid for 1 hour 2. Request a new link: Go back to the "Forgot Password" page and request again 3. Copy and paste the entire URL: Don't try to type it manually 4. Try a different browser: The link might not work in your current browser 5. Check for line breaks: Email clients sometimes break long URLs across lines

Common issues:

"I never had an account" - ⚠️ Magic Links only work for existing accounts - You must first register using SSO before you can use Magic Links - Go back and create an account first

"I can't find the Magic Link email" - Check your spam/junk folder - Wait a few minutes (can take up to 5 minutes) - Request a new Magic Link if the old one expired

"The link says it's expired" - Magic Links expire after 15-30 minutes for security - Request a new Magic Link - Use it immediately after receiving it

"The link doesn't do anything" - Try copying and pasting the URL directly into your browser - Try a different browser - Clear your browser cache and try again

"I can't find the [Feature] menu"

Problem: You can't locate a specific menu or feature.

Where to look: 1. Sidebar navigation (left side of screen): - Look for icons or text labels - May need to expand/collapse 2. Top navigation bar: - Check the horizontal menu at the top - Look for dropdown menus 3. Hamburger menu (☰): - On mobile or collapsed views - Usually in top-left corner 4. Within club section: - Some features are only visible when you're viewing a club - Navigate to a club first, then look for the feature 5. Admin panel: - Some features require admin access - Look for "Admin" or "Manage" buttons within a club

"I don't see any clubs"

Problem: The clubs list is empty.

Possible reasons: 1. No clubs created yet: Be the first to create one! 2. All clubs are private: You need an invitation to see them 3. Not logged in: Make sure you're logged in to your account 4. Filter applied: Check if there's a filter hiding clubs 5. Permission issue: Contact your system administrator

What to do: - Create your own club if you have permission - Ask someone for an invitation to their club - Contact your system administrator for help

"I can't access admin features"

Problem: You don't see admin options for a club.

Check these: 1. Are you a club administrator? - Only administrators can access admin features - Check your role in the club members list 2. Are you viewing the right club? - Make sure you're in a club where you're an admin 3. Is the admin section hidden? - Look for "Admin", "Manage", or a settings icon - May be in a dropdown menu or tab

Solutions: - Ask an existing administrator to promote you - If you're the only member, you should automatically be an admin - Contact support if you should be an admin but aren't

Club Management Issues

"My join request wasn't approved"

Problem: Your request to join a club is still pending or was denied.

What to do: 1. Be patient: Administrators may not check requests daily - Wait at least 2-3 days before following up 2. Contact the administrator: - Look for contact info in the club description - Ask a current member to connect you 3. Consider other clubs: Join a more active club 4. Try again: Some clubs may have missed your request

If denied: - Some clubs have specific membership criteria - Consider creating your own club - Look for similar clubs that might be a better fit

"I created a club but can't see it"

Problem: Your newly created club isn't showing up.

Try these: 1. Refresh the page: Click refresh or press F5 2. Check "My Clubs": Look in your dashboard for clubs you're a member of 3. Make sure it saved: Did you click "Save" or "Create"? 4. Look in the clubs list: Navigate to the clubs section 5. Check if it's private: Private clubs may not show in all lists

"Can't invite members to my club"

Problem: The invite function isn't working.

Checklist: 1. Are you an administrator?: Only admins can invite members 2. Is the email address valid?: Check for typos 3. Is the person already a member?: You can't invite existing members 4. Is there an invitation limit?: Some systems limit invitations 5. Check admin panel: Make sure you're in the right section - Look for "Invitations", "Invite Members", or "Members" → "Invite"

Event Issues

"I can't RSVP to an event"

Problem: The RSVP button isn't working or isn't visible.

Possible reasons: 1. Event is full: Maximum attendees reached 2. RSVP deadline passed: Too late to respond 3. Not a club member: You must be a member to RSVP 4. Event is in the past: Can't RSVP to past events 5. Already RSVP'd: You may have already responded

Solutions: - Contact the event organizer to be added to waitlist - Join the club first before RSVPing - Check if you already responded

"Not receiving event notifications"

Problem: You're not getting notified about new events.

Check your settings: 1. Notification preferences: - Go to Profile → Settings → Notifications - Ensure event notifications are enabled 2. Email settings: - Verify your email address is correct - Check if you have notifications set to "None" 3. Check spam folder: Notifications may be filtered 4. Are you a club member?: You only get notifications for clubs you've joined

Profile & Settings Issues

"Can't update my profile"

Problem: Profile changes aren't saving.

Try these: 1. Check required fields: Make sure all required fields are filled 2. Check email format: Email must be valid (example@domain.com) 3. Check password requirements: If changing password, meet all requirements 4. Clear browser cache: Old cache might interfere 5. Try a different browser: Might be a browser-specific issue 6. Check your connection: Ensure stable internet connection 7. Click the save button: Don't just close the page

"Profile picture won't upload"

Problem: Image upload fails.

Requirements: 1. File size: Must be under 5MB 2. File format: Must be JPG, PNG, or GIF 3. Stable connection: Ensure good internet connection 4. Browser compatibility: Try a different browser 5. Image not corrupted: Try a different image

Solutions: - Compress the image if it's too large - Convert to JPG or PNG format - Try uploading from a different device - Clear browser cache and try again

"Not receiving any notifications"

Problem: No email notifications are arriving.

Check these: 1. Notification settings: Profile → Settings → Notifications - Make sure notifications aren't disabled - Check that email notifications are enabled 2. Email address: Verify your email is correct 3. Spam folder: Check junk/spam folders 4. Email provider: Some providers block automated emails - Add the sender to your contacts/safe list 5. Notification preferences: Make sure you haven't selected "None"

Fine Issues

"I don't see a fine that was issued to me"

Problem: Administrator says you have a fine, but you don't see it.

Try these: 1. Refresh the page: Press F5 or click refresh 2. Check "My Fines": Look in your dashboard 3. Check the specific club: Navigate to the club and look for fines 4. Check all clubs: Make sure you're looking in the right club 5. Wait for sync: Sometimes it takes a minute to show up

"Can't pay a fine"

Problem: The payment option isn't working.

Understanding fine payment: - The system tracks fine payments, but doesn't process them - Actual payment is usually made offline (cash, bank transfer, etc.) - The "Pay Fine" button just marks it as paid in the system

What to do: 1. Make the actual payment: Pay the administrator in the agreed manner 2. Mark as paid: Then click "Pay Fine" in the system 3. Contact administrator: If the button doesn't work, ask admin to mark it paid

Performance Issues

"The application is slow"

Problem: Pages load slowly or the app is unresponsive.

Try these: 1. Check your internet: Run a speed test 2. Refresh the page: Sometimes helps clear temporary issues 3. Clear browser cache: Remove old cached data 4. Close other tabs: Free up browser resources 5. Try a different browser: Could be browser-specific 6. Check server status: Ask others if they're experiencing issues 7. Wait a moment: Might be temporary server load

"Page won't load or shows an error"

Problem: Error messages or blank pages.

Steps to resolve: 1. Note the error message: Write down or screenshot the exact error 2. Refresh the page: Try reloading 3. Clear browser cache: Old cache might cause issues 4. Try incognito/private mode: Rules out extension issues 5. Try a different browser: Isolate the problem 6. Check console: Press F12 and look for errors (for technical users) 7. Contact support: Provide error message and steps you tried

Mobile Issues

"App doesn't work on mobile"

Problem: The application has issues on your phone or tablet.

Solutions: 1. Use a mobile browser: Open in Chrome, Safari, or Firefox 2. Request desktop site: Sometimes mobile view has issues - Chrome/Safari: Menu → "Request Desktop Site" 3. Update your browser: Make sure you have the latest version 4. Check screen orientation: Try both portrait and landscape 5. Clear mobile browser cache: Free up space and clear old data 6. Use a larger screen: Some features work better on tablets/desktop

Information to Include When Asking for Help

When contacting support, include: 1. What you were trying to do: Describe your goal 2. What happened: What went wrong? 3. Error messages: Copy any error text 4. Screenshots: Show the issue if possible 5. Browser and device: What are you using? 6. Steps to reproduce: Can you make it happen again? 7. When it started: Did it ever work before?
