Member Management

This guide explains how to manage members in your club, including inviting new members, managing roles, and handling join requests.

Viewing Members

To view your club's members:

  1. Navigate to Your Club: Select your club from the clubs list
  2. Click "Members": View the complete list of club members
  3. View Member Details: Click on a member to see their profile and club activity

Member Information

The members list shows: - Member name and email - Join date - Role (Administrator or Member) - Recent activity

Inviting Members

As a club administrator, you can invite new members:

  1. Open Admin Panel: Navigate to your club's admin section
  2. Go to "Invitations": Select the invitations management page
  3. Click "Invite Member": Start the invitation process
  4. Enter Member Details:
  5. Email address of the person to invite
  6. Optional personal message
  7. Select initial role (Member or Administrator)
  8. Send Invitation: Click send to email the invitation

Invitation Validity

Invitations are valid for a limited time. If an invitation expires, you'll need to send a new one.

Managing Pending Invitations

View and manage sent invitations:

  1. View Pending Invites: See all invitations that haven't been accepted yet
  2. Resend Invitation: Send the invitation email again if needed
  3. Cancel Invitation: Revoke an invitation before it's accepted

Join Requests

When someone requests to join your club, you'll need to review and approve their request:

  1. Navigate to Join Requests: In the admin panel, select "Join Requests"
  2. Review Requests: See a list of pending join requests
  3. View Requester Profile: Click on a request to see more details
  4. Approve or Deny:
  5. Approve: Accept the member into your club
  6. Deny: Reject the request with optional feedback

Review join requests promptly to maintain a positive experience for potential members.

Managing Member Roles

Understanding Roles

Administrator: - Can manage all aspects of the club - Can invite and remove members - Can create and manage events, fines and shifts - Can modify club settings - Can promote and demote members

Member: - Can view club information - Can participate in events and activities - Can view news and receive notifications - Limited management capabilities

Changing Member Roles

To promote or demote a member:

  1. Go to Members List: Navigate to the admin members page
  2. Select a Member: Click on the member whose role you want to change
  3. Change Role: Use the role selector to change their role
  4. Confirm: Save the changes

Be Careful

Administrators have full access to club management. Only promote trusted members.

Removing Members

If you need to remove a member from your club:

  1. Navigate to Members: Go to the admin members page
  2. Select Member: Find the member you want to remove
  3. Click "Remove Member": Use the remove option
  4. Confirm Removal: Confirm that you want to remove the member

Note

Removed members can request to join again if the club is public. Consider privacy settings if needed.

  • Event RSVPs and attendance

  • Outstanding fines

  • Total events attended
  • Shifts completed
  • Fine payment history
  • Membership duration

  1. Promote Helper Admins: As your club grows, promote trusted members to help manage
  2. Regular Check-ins: Monitor member activity and engagement
  3. Handle Requests Promptly: Respond quickly to join requests and member issues

  1. Create Engaging Events: Regular activities keep members interested
  2. Foster Community: Encourage member interaction and participation
  3. Be Responsive: Answer questions and address concerns quickly

Troubleshooting

Invitation Not Received?

  • Check spam/junk folders
  • Verify the email address is correct
  • Resend the invitation if needed
  • Contact the invitee directly with the club name

Can't Remove a Member?

  • Ensure you have administrator privileges
  • Check if there are any dependencies (pending fines, upcoming shifts)
  • Contact system administrator if issues persist

Member Role Not Updating?

  • Refresh the page to see changes
  • Verify you saved the changes
  • Check that you have permission to change roles
